The Detailed Agent History


You can use this workbook to look up more information about any specific agent in your MLS and answer the questions. Who are they? Where do they work and what have they done recently?


To access the detailed agent history, you start by accessing the online system in one of two ways. You can either go to relitix.com and click on the login button at the top of the page, or you can go directly to Login | Tableau Online and use the credentials we set up for you.


Then you will find the Detailed Agent History workbook. 


After you open the workbook, the first thing you will need to do is select an agent. You can find the agent you're looking for by narrowing down the search by company, office city, or office name. You can also find the specific agent by either typing their name on the drop down menu on the right side, or finding them on the list to the left. 


Once you have clicked on their name on the left side of the screen, you'll be automatically taken to the next screen called summary. On the top of the screen you will see their new listings and Closings. You can sort this by the previous twelve months. Year to date, 24 or 36 months by using the drop down. You can see what property types these listings and sales are by their color, and you can hover over the bars to get more information.



In the middle of the page you can see the closed volume by year and you can hover over each year to see their total closed volume. Their closed transactions, their sides and the average closing price on the bottom of the screen there is the office affiliation timeline. You can hover over the graph to see when the agent recorded their first transaction. With that particular office. We also see their one year market share rankings on the bottom right that shows their rank in the various areas where they closed volume in the last 365 days.


The next tab is called close volume in listings overtime.The top graph shows the 12 month rolling closed volume number. Each point on the graph represents a month, and when you hover over them you can see how much volume or how many sides they closed in the 12 months that end on that particular month. Using the rolling 12 month shows the long term trends and takes this seasonality and the noise right out of it.



You can use the drop down on the right to switch between viewing close volume or closed sides. Viewing by sides can often tell us a clearer story.You can also select show under list side percentage to see which percentage of the closings are list sides, to see more of a trend. This tells us if we're looking at someone who prefers to work with buyers or with sellers. It's easy to see how important it is to know these trends when recruiting and coaching an agent. The bottom graph shows the 12 month rolling new listings count. It is always interesting to see this chart in conjunction with the volume and the side trend on top to see correlations between them.

On the next tab, the screen shows us active and expired deals over time. The top graph shows the active listing count at the end of each month, and if you hover over it you will see the actual number count and the year over year. On the bottom half of this screen you will see the 12 month rolling Expired, canceled, and withdrawn listings when you hover over this chart you will see the count for that month, the count over the last 12 months and the year over year percent change. This screen gives a great snapshot of how well the agent does with the new listings they take on.


The next tab is called Deal locations.On this screen you will see the Geo location for every deal they have had. This helps to give you a sense of where they work. You can see that they are identified by different colors according to the. If that listing is active, closed, expired or canceled. You can interact with this map by zooming and panning around using the tools on the toolbar on the left. At any time you can click on the home icon on the toolbar to revert the map back to where it was before you started zooming or panning.



You can hover over any of these points on the map to get more information about that listing. It will tell you if this agent was the listing agent, the contract, and closed dates for the listing, the listing close price for that listing, as well as more general information about the property type status and the location. 

On the right hand side of the screen you will see the section called top historical markets. This is a list of this agent’s top historical markets with the number of transactions they have had in that area. Below that is the one year market share rankings and shows where they rank on the leaderboard for those areas they worked in the last 365 days.Along the same lines of looking at the geography on this tab. 


You can move to the next tab called price in geography pattern.This gives us a very clear view of where the agent has had closings and what price ranges these closings were in in that area during that calendar year. Each area is color coded and identified on the right side of the screen. And again you can hover over any of these bars to get the information. Clearly summarized for you.


The next page is a summary of the counterparties for this agent's Closings, we can get a good idea of who is on the other side of their transactions and what companies they are working with most. The top left lists the specific agents they worked with that agents company and the closing price of the listing.This can be a great way to see if there are any agents that they work with on a regular basis on the right side of that table you will see the counterparty companies and how much volume was involved, as well as the specific counterparty offices here on the bottom.



 

Please take a minute to notice that on this screen you can choose to view either the agents listings or the transactions where they were on the buyer side.You can also choose to view this by closed volume or by sides. Finally, you can choose which calendar year you want to view. You can choose one year. You could choose five years, or you could select all of the years. 

Then we have the next tab called Co list and sell partners. This list by year and number of transactions. Any partners that they have had and how many transactions they Co listed or coal sold with that individual. This is a great way to see who they Co broke with and how that has changed.This screen is a very effective way to see who was working on teams. Don't forget, you can always hover over the graph for more information.



The final page in this workbook is that agents contact information. After looking at all of the data on this agent, you will now be very knowledgeable about their career and their skills as an agent. Please remember that any of these pages can be downloaded, saved, sent off to your managers, or used on your own printed out and shared with your agents.
